Purpose

To provide a slate of candidates for leadership and other titles, and manage the election process.

Responsibilities

  • Nominates a slate of candidates to fill each position on the Board of Directors.
  • Nominates honorary life members.
  • Prepares a ballot to be submitted for a vote by the membership.
  • Count all valid ballots cast by voting members and present results.

Procedures

  • The duties and procedures of the Nominations Committee are described in Section VI of the LLAGNY bylaws as amended with respect to nominations in 1995.

In addition:

    1. The Chair of the Nominations Committee will form a committee representative of a variety types of law libraries (i.e. Academic, Bar Association, Court, Firm, Government, etc.)
    2. Nominations will be solicited in the Winter issue of Law Lines and by placing message(s) on the LLAGNY list serv.
    3. The Committee will notify by e-mail, each nominated person. A list of duties for the Board position (from the LLAGNY Leadership Manual), will be included in the letter so that the nominee will be aware of the responsibilities of office. Each nominee will be asked to acknowledge in writing the desire and availability to run for the Board. It will be made clear in the LLAGNY notification letter that nomination does not insure candidacy and that the final decision for candidacy will be made by the Committee.
    4. The Committee will review the letters received and decide on a slate of candidates for Board membership. The Committee will solicit biographical information from each candidate to be included with the ballot.
    5. The Committee will make every effort to nominate two candidates for each open position. In the event that the Committee receives an insufficient number of nominees from the solicitation in Law Lines and the list serv, the Committee will seek additional suggestions from the Board and Committee Chairs.
    6. The Nominations Committee will assist the Secretary to prepare the ballots for mailing to the regular membership. The Chair of the Nominations Committee will send an e-mail reminder message to the LLAGNY list serv regarding the due date for receipt of ballots from the membership.
    7. Ballots will be counted by the Nominations Committee. The LLAGNY Secretary will also be present at the counting of ballots. Robert’s Rules of Order will be enforced for determination of the validity of ballots and vote count.
    8. The LLAGNY Secretary will inform the President of the results.
    9. The Nominations Committee Chair will contact all candidates with the results of the election prior to the release of the names of the winning slate to the LLAGNY membership.
    10. A news release informing the membership of the newly elected slate of candidates will be posted to the LLAGNY list serv and included in the next published issue of the Law Lines.
    11. The Nominations Committee Chair will retain the ballots until the Annual Meeting of the membership. Ballots will be destroyed only after the LLAGNY membership votes at that meeting to destroy them.
