Purpose
To organize the Association's social events, including the Fall Soiree/New Member Reception, Winter Meeting and June Dinner and to assist the Student Relations Chair in locating a site for the Student Luncheon.
Procedures
- Work with Nancy Eller (212) 787-8359, LLAGNY's “Party Planner” to locate sites for the social events and to negotiate the contracts.
- Contact the Secretary for available dates.
- Provide the Board with the information regarding the site, date and cost for approval.
- Send contracts to the President or Treasurer for their signature.
- The Treasurer will send the payment.
Checklist
One month before event:
- Obtain list of mailing labels from Membership Chair
- Create announcement for event; get approval from the Board.
- Have Board determine if there will be a fee for members, and whether a separate fee for non-members
- Work with the Volunteers Chair to find volunteers to help fold and stuff the announcements
- Any requests for reimbursements for copies, postage, etc. are forwarded to Treasurer
Week of event:
- Collect payments, if any, to send to Treasurer. Maintain a list of names from those people who RSVP, and check against the membership list where appropriate.
- Coordinate with Volunteers Committee to get volunteers to help check people in and distribute name tags at event
- Determine if vendors need a table for give-aways.
- Double-check contract to be sure that all payments have or will be made on the date of the event.
Day of event:
- Create name-tags for attendees. Wait until last possible moment to print them.
- Always bring blank nametags and felt-tip markers for walk-ins.
- It’s also a good idea to have blank receipts available
