Chapter President Annual Meeting Events

There are many events planned for Chapter leaders at the upcoming AALL Annual Meeting in Seattle. Make sure you have the following events on your personal conference schedule:

Saturday, July 13th

  • 8:00 a.m. - 2:30 p.m. AALL Leadership Training for Committees, SISs, and Chapters (By Invitation) [Sheraton Metropolitan Ballroom A]
  • 12:00 noon - 1:00 p.m. AALL Leadership Luncheon (By Invitation) [Sheraton Ravenna ABC]
  • 3:00 p.m. - 4:00 p.m. Council of Chapter Presidents Business Meeting [Sheraton Aspen]

Sunday, July 14th

  • 5:00 p.m. - 6:00 p.m. AALL Government Relations Get-Together [Sheraton Fountain Wine Bar]

Who Should Attend Leadership Training?

The Leadership Training is for newly-elected Vice Presidents/Presidents-Elect and for Presidents who have just assumed office in 2013. If you are a current Chapter President and are unsure if your newly-elected Vice President/President-Elect has been added to the Chapter listserv and received an invitation to the Leadership Training, Leadership Luncheon, and Council of Chapter Presidents Business Meeting, please contact me.

Activities Area at AALL

If your Chapter requested a table in the Activities and Membership Services Area of AALL's Exhibit Hall, please keep the following details in mind as the Annual Meeting draws closer.

  • You may set up your table on Saturday, July 13, from 9:00 a.m. to 5:00 p.m. Please note that only the name(s) you provided on the reservation form will be admitted into the Exhibit Hall.
  • If you are planning to ship materials to Seattle, you may send them to the exhibits warehouse or to the convention center directly (see addresses below). Packages clearly labeled with the name of your group will be delivered to your table in the Activities Area. Please note the dates during which packages may be received. Packages shipped to the convention center that arrive before July 12th will be rejected.
  • Packages are delivered to the convention center throughout the day, but be prepared that it could take a few hours for your shipment to be checked in at the delivery dock, sorted and delivered to the Activities Area.
  • Be sure to forward tracking information for your packages as well as the number of packages you are shipping to Paul Graller, our Exhibits Manager, at pgraller@heiexpo.com. You should bring your tracking information with you to Seattle.
  • Please arrange to dismantle your table by the time the Exhibit Hall closes on Tuesday, July 16th at 3:00 p.m. After that time, there will be a lot of activity in the Hall as exhibitors pack up so you'll want to make sure that your materials are not misplaced or thrown away in the commotion.
  • If you will need to ship anything home, a full-service FedEx Business Center is located in the Washington State Convention Center in the Main Lobby on street level and will be open until 10:00 p.m. on Tuesday. A FedEx Business Center is also located in the Sheraton Seattle Hotel on the second floor and is staffed until 5:00 p.m. on Tuesday.

Conference shipments should be addressed as follows:

SHIPMENTS TO THE GES WAREHOUSE CAN BE RECEIVED June 7 – July 8.
Note: The GES Warehouse will be closed on July 4th in observance of Independence Day.
The last day for Advance Shipments to arrive at the Warehouse without surcharges is July 8th.

Chapter Annual Reports

Each Chapter President is required to submit an annual report to AALL summarizing the accomplishments and milestones of the Chapter for the year. Instructions on what to include in your Chapter annual report can be found here. You can find past Chapter Annual Reports on AALLNET (going back as far as 2006-2007) to use as guides or to give you a better sense of what should be included in your report.

The deadline for submitting your Chapter's annual report is August 12, 2013. Please submit your report as an attached Word file, directly to Kim Rundle, Executive Assistant to the Executive Director, at annualreports@aall.org. You will receive reminders closer to that date, but now is the time to start gathering information and thinking about what you want to include in your Chapter's annual report.

Chapter Visits

It's never too early to start thinking about scheduling a Chapter visit for 2013-2014. Did you know that AALL will pay the visitor's travel expenses, so the visit is at no cost or very low cost to your Chapter? To request a visit, simply fill out the Chapter Visit Request Form on AALLNET and submit it to Kim Rundle. To find out more details about the program, please review the Chapter Visits section on AALLNET, which includes policies, procedures and the Chapter Visit Rotation Schedule, which details which Chapters are eligible for visits from the AALL President, Vice President/President-Elect, or Immediate Past President in the coming year.

This is my last Chapter Chat newsletter, marking what will soon be the end of my term serving as your Council Chair. It has been an honor and a pleasure to work with all of you this past year and I want to thank you for giving me the opportunity to serve in this capacity. And, I want to take this opportunity to thank all of you for serving as leaders for your Chapters as well. I look forward to seeing many of you in Seattle!
