2002-3 AALL GD-SIS Grants Committee Report

The AALL GD-SIS Grants Committee awarded two $400 grants between Fall 2002-Summer 2003.

HISTORY of GD-SIS GRANTS:

The first grant is awarded to a SIS member or a government documents support staff to attend the Fall Federal Depository Library Conference. The second grant, the VERONICA MACLAY grant, is given to assist a library and information science student attend the AALL Annual Conference.

2002-2003 GRANTS AWARDEES

The recipient of the member grant (to attend the Oct. 2002 FDLP Conference in Alexandria, VA) was Frank Richardson, government documents librarian with the Los Angeles County Law Library, Los Angeles, CA. The committee received 6 applications for this grant.

The recipient of the 2003 summer student grant (to attend the July 2003 AALL Conference in Seattle, WA) was Jaye Anne Barlous, student in the University of Washington Information School, Seattle, WA. The committee received 14 applications for this grant.

2002-2003 GRANTS PROCEDURE

Both grants were posted and advertised on the AALL GD-SIS web site (http://www.aallnet.org/sis/gd/) and listserv (http://share.aallnet.org/read/?forum=gd-sis). Additionally, they were posted (followed by several deadline 'reminders') on the following national and state listservs:

Paper announcements were also sent to all ALA accredited library schools.

NEW PROCEDURES for 2002-2003

This year the committee produced the announcements in several formats (.doc, .html, .pdf), and, for the first time, candidates were provided with a web-based application form. About half of the students' applications were received via e-mail (generated by the web form), by all committee members, with considerable savings of time for faxing, copying, scanning, etc.

As a 'first again' we set up an 'archive' for the documents produced by the committee, so that materials will be within easy reach to future committee members.

Also special thanks go to Eric Parker, the GD-SIS webmaster, who was prompt in creating all the GD-SIS web support, posting the committee announcements and coping with the pressures of AALLNET server changes in the midst of the application process.

SUGGESTIONS FOR NEXT YEAR COMMITTEE

  • DO refer to the second grant as "VERONICA MACLAY GRANT" (in all publicity materials)
  • DO NOT re-invent the wheel - use the 'archive' files posted on the GD-SIS web site @ http://www.aallnet.org/sis/gd/archive/
  • push for electronic ONLY application procedure
  • keep track of all new files and procedures and leave a good legacy of files in the GD-SIS 'archive'
