Module 2: Maintaining The Depository Collection

Preservation and Storage

Maps:

  • House sheet maps flat, not folded, in sturdy, acid-free map cases
  • The cases may be either vertical or horizontal
  • File smaller maps on shelves or separately in map cases
  • If housing a map separately from its parent publication, note such in the depository holdings record
  • The U.S. Geological Survey (USGS) and National Imagery and Mapping Agency (NIMA) send maps directly to depository libraries
  • USGS produces its own shipping lists, arranged by depository item number
  • NIMA includes packing slips listing map numbers only
Posters:

  • Store posters flat
  • Do not fold or roll them
  • Display depository posters when possible
  • Lend individual posters or series of posters to other institutions for display
