LSRD-SIS Procedures Manual

2022 Revision

July

  • “Leadership Training” Workshop (incoming chair and vice-chair) — Saturday before AALL Annual Meeting.
  • CONELL Marketplace — Saturday morning (current chair represents LSRD-SIS.
  • SIS Council Meeting (outgoing chair required to attend; incoming chair may attend) — Saturday afternoon.
  • LSRD-SIS Outgoing/Incoming Executive Board meeting (held either in-person or virtually)
  • LSRD-SIS General Business Meeting — (presided over by chair, passing gavel to incoming chair at close of meeting) — usually Monday.
  • AALL Activities Area (coordinated by second year member-at-large) — Poster highlighting LSRD-SIS activities
  • LSRD/TS/CS/RIPS dine-arounds (coordinated by first year member-at-large)
  • LSRD-SIS Education Committee meets to develop ideas for next year’s Annual Meeting.
  • Website – update officers and committee chairs after Annual Meeting

August

  • TSLL columns due for publication in September issue:
    • Committee chairs report on their meetings at AALL Annual Meeting
    • New LSRD-SIS chair writes “Letter from the Chair” column
    • Secretary/Treasurer submits minutes of LSRD-SIS business meeting, including any corrections to the previous year’s minutes.
  • Annual report for LSRD-SIS due (prepared by immediate past chair)
  • IdeaScale for next Annual Meeting active
  • Website – add links to programs

September

  • LSRD-SIS Chair appoints a Nominating Committee. None of whom shall be a member of the Executive Bord members.
  • Annual Meeting call for proposals opens
  • Education Committee analyzes IdeaScale, solicits program proposals to address IdeaScale submissions and AMPC “must have” programs pertinent to LSRD interests

October

  • Program and workshop proposals due to AMPC, deadlines determined by AMPC/AALL HQ
  • Nominating Committee should begin work in early October. Slate should be completed by February for inclusion in the March “From the Chair” column in TSLL.
  • LSRD-SIS Vice-Chair becomes LSRD-SIS Education Committee chair to prepare for the following AALL Annual Meeting

November

  • LSRD-SIS Chair submits preliminary scheduling LSRD-SIS business, committee and roundtable meetings, TSLL Editorial Board meeting, and other informal programming through the SIS Matrix, after consulting with TS-SIS Chair about meeting times. Deadlines determined by AMPC/AALL HQ.
  • LSRD-SIS Chair submits scheduling forms for LSRD-SIS related meetings at next AALL Annual Meeting; scheduling forms due to AALL HQ by November 1, or as directed by AALL HQ.
  • TSLL columns due for December issue (chair).

January

  • LSRD-SIS Chair appoints facilitator(s) to lead Discussion Groups or Roundtables at the next Annual Meeting, as needed.
  • Nominating Committee has candidates send letters of acceptance to LSRD-SIS Chair, and submit their biographical statements to Secretary/Treasurer.
  • LSRD-SIS Vice-Chair prepares the biennial “Membership Survey” and distributes notification to members (generally with a one month deadline).
  • In alternate years, LSRD-SIS Vice-Chair solicits volunteers for committee appointments (non-membership survey years).
  • Website – promote member survey or volunteer form.
  • LSRD-SIS Vice-Chair/Chair-Elect will be the Chair of the Education Committee as of January 1.

February

  • TSLL columns due for March issue.
  • LSRD-SIS chair includes slate of candidates in March “From the Chair” column in TSLL.
  • LSRD-SIS Secretary/Treasurer posts the slate of candidates to the LSRD discussion list and sends it to the LSRD-SIS Web Advisory Committee chair for posting.
  • In alternate years, LSRD-SIS vice-chair compiles results of the membership survey.

March

  • LSRD-SIS Secretary/Treasurer may receive petitions for further nominations up to March 23.
  • LSRD-SIS secretary/treasurer creates online election as per the instructions from AALL Election should be completed with ballots due by May 1.

April

  • Election of officers should start April 1.
  • Reserve space in Annual Meeting Exhibit Hall Activities Area. Reservation form generally due to AALL by April 15, authorizing pre-entry for AALL Executive Board members.
  • Suggestions of candidates for AALL offices due to AALL Nominations Committee by 15th of the month, or as otherwise directed.
  • Website – promote election

May

  • TSLL Columns due for June issue.
  • Completed LSRD-SIS ballots are counted by the election software and elections results reported to the LSRD-SIS Chair.
  • LSRD-SIS Secretary/Treasurer calls the candidates to notify them of the results
  • LSRD-SIS Chair reports results to AALL Headquarters, SIS Council Chair, TSLL editor, and posts on LSRD-SIS discussion list.
  • Website – post new officers

June

  • LSRD-SIS Vice-Chair submits compiled report on biennial member survey for publication in TSLL
  • LSRD-SIS chair appoints necessary committee chairs to serve beginning after appropriate committee meeting during AALL Annual Meeting.
  • LSRD-SIS vice-chair sends committee appointment letters to selected LSRD-SIS members to serve beginning after AALL Annual Meeting.
  • Committee chair appointments to TSLL
  • LSRD-SIS Vice-Chair appoints a new representative to TSLL Advisory Board, to begin a two-year term in July.
  • LSRD-SIS Chair sends letters of appreciation to Executive Committee members and committee chairs when their terms end.
  • LSRD-SIS Chair promotes LSRD programming at Annual Meeting via My Communities list
  • Website – Announcements of LSRD events at Annual Meeting added to LSRD website and LSRD Facebook page.
  • Two weeks prior to AALL, LSRD-SIS Chair sends letter of introduction to all CONELL Registrants asking to meet them at the CONELL Marketplace.
